Wafeq product update: Inbox AI, document validation, rounding and FX exports

Wafeq product update: Inbox AI, document validation, rounding and FX exports

In short: Wafeq's latest update adds four features. Inbox AI reads the supplier invoices and receipts you forward or send on WhatsApp and turns them into draft bills and expenses. Document validation shows every issue on an invoice, credit note, or cash invoice before you issue it. Tax-inclusive rounding keeps VAT correct and posts any rounding difference to its own account. FX in exports and imports carries exchange rates and custom fields in and out of Wafeq.

Each one removes a small, repeated task from your week: typing in supplier documents, fixing a rejected e-invoice, explaining a one-Fils difference, or rebuilding exchange rates in a spreadsheet. Here is what changed and how to use it.

1. How does Inbox AI turn forwarded invoices into bills?

Inbox AI gives your business a dedicated inbox address. Forward supplier invoices and receipts to it, or send a receipt photo on WhatsApp. Inbox AI reads the supplier, dates, line items, and VAT, then prepares the right document for you.

Invoices with payment terms become bills, paid receipts become expenses, and suppliers you haven't worked with before are added as new contacts. Nothing is posted on its own: every document arrives as a draft for you to review.

How to use Inbox AI

  1. Copy your dedicated inbox address from Wafeq, or connect WhatsApp.
  2. Forward a supplier invoice or receipt, or send its photo.
  3. Open the draft and check the supplier, dates, line items, and VAT.
  4. If it should be booked another way, ask Inbox AI to change it.
  5. Approve the draft to post it to your books.

You can also teach Inbox AI your own rules, for example, which bank account pays a specific company card, so the next draft follows them.

2. How do I find every issue on a document before I issue it?

Validation now checks invoices, credit notes, and cash invoices while you work. As soon as you pick a customer, any issue appears right under the field that needs attention, so you don't have to guess what's missing.

If a document isn't ready for e-invoicing yet, a banner tells you and shows how many issues are left. Open the Validation tab to see them grouped into three areas:

  • E-invoicing compliance: the fields your e-invoice needs before it can be issued.
  • Customer details: missing or incomplete information on the customer record.
  • Line items: issues on the products or services you added.

On mobile, validation opens as a bottom sheet so you can fix issues from your phone too.

3. Why does my tax-inclusive total now match exactly?

When prices include VAT, splitting each line into a net amount and tax can leave a small difference between the calculated total and the total you agreed with your customer or supplier.

Wafeq now handles this for tax-inclusive invoices and bills. VAT stays correct, the rounding difference gets its own line on the document, and it is posted to a dedicated rounding account. Your totals match the agreed price, and your accountant can see exactly where every halala or fils went.

The way the rounding line is shown is in line with ZATCA and UAE e-invoicing requirements.

4. Can I export and import invoices with their FX rates and custom fields?

Yes. When you export invoices and bills, the file now includes the exchange rate and your custom fields. Every foreign-currency document shows the rate that was applied, so reconciling with your bank or sharing data with your accountant no longer means looking up rates again.

Importing works the same way in reverse: upload your file and map its columns to the matching Wafeq fields, including exchange rates and custom fields.

  1. Go to your invoices or bills list and choose Export.
  2. Open the file: each foreign-currency document includes its exchange rate and custom fields.
  3. To import, upload your file and map each column to a Wafeq field.

In your lists, hover over the FX icon next to any foreign-currency document to see the rate at a glance, for example, 1 USD = 3.6725 AED. This builds on: custom fields and editable FX rates, released earlier this year.

FAQs about the latest updates

Does Inbox AI post documents to my books automatically?

No. Every document Inbox AI creates arrives as a draft. You review it, ask for changes if needed, and approve it before anything is posted.

What can I send to Inbox AI?

Supplier invoices and receipts. Forward them to your dedicated inbox address, or send a photo on WhatsApp.

Which documents does validation check?

Invoices, credit notes, and cash invoices. Issues show under each field, and the Validation tab groups them into e-invoicing compliance, customer details, and line items.

Where does the rounding difference go?

It appears as its own line on the tax-inclusive invoice or bill and is posted to a dedicated rounding account. VAT is not changed.

Are bills included in the new export and import?

Yes. Both invoices and bills can be exported and imported with their exchange rates and custom fields.

How do I check the exchange rate used on a document?

Hover over the FX icon next to the document in your invoices or bills list.
