With this update, companies can now design professional invoices and financial documents with a higher level of customization, all directly into Wafeq.

The new designer expands what was previously possible with the basic template editor and allows finance teams to create branded, structured, and fully customized documents.

What Are Document Templates in Wafeq?

Document templates determine the layout and information displayed in financial documents generated by the system. These include documents such as:

• Invoices
• Quotes
• Credit notes
• Purchase orders
• Delivery notes



The Basic Template Designer

Before this update, Wafeq offered a basic template editor that allowed users to adjust a limited number of design elements.

Users could modify a few visual settings and basic fields, but the level of customization was limited. This meant companies sometimes had to work around formatting limitations when trying to match their internal document standards or branding guidelines.



While the basic designer remains available and fully supported, Wafeq now introduces a much more powerful solution for businesses that need greater flexibility.

The New Advanced Template Designer

The Advanced Template Editor is a new design environment that works similarly to a word processor. It allows users to build and customize document templates with far more control over formatting and layout.



Inside the advanced editor, users can:

• Write and edit text freely.
• Insert tables and structured layouts.
• Add page breaks.
• Insert horizontal separators.
• Control spacing and formatting.
• Arrange information exactly how they want it.

Smart Data Fields That Populate Automatically

One of the key elements of the Advanced Template Designer is the use of dynamic data fields. These fields automatically pull information from the invoice or company profile when the document is generated. Examples include:

• Organization name.
• Branch name.
• Address.
• Tax registration number.
• Commercial registration number.

When a document is generated, Wafeq automatically fills these fields with the correct information. Users can insert these fields by typing / and selecting the relevant field from the available options.

This makes template design flexible while ensuring that every generated document contains accurate and consistent data.

Joint Fields for Structured Data

The Editor also supports joint fields, which combine multiple pieces of data into a single field. For example, the address field can automatically combine:

• Building number
• Street name
• District
• City
• Country

This simplifies template creation while ensuring the full address appears correctly in the document.

Template Preview with Real Data

After designing a template, users can click Preview to see how the document will appear when populated with real invoice data. This allows finance teams to validate the design before using it in real transactions, ensuring the layout and information display correctly.

Advanced Designer Add-On

The Advanced Template Editor is available as an add-on feature.

Once activated, users can:

• Generate PDFs using advanced templates.
• Apply customized designs to documents.
• Download documents using the new layout.

Designing Without the Add-On

Even if the add-on is not yet activated, users can still access the editor and design templates. This allows users to experiment with template designs before purchasing the add-on. However, without the add-on:

• The system will revert to the basic template when generating or previewing PDFs.
• Advanced templates will not be used in the final document output.

Applying Templates to Documents

Once a template is created, it can be assigned to documents such as invoices. When the Advanced Customization add-on is active, the system will generate the final PDF using the advanced template design. If the add-on is not active, Wafeq automatically falls back to the basic template.

Flexible Add-On Management

Currently, users can remove the Advanced Customization add-on at any time. If the add-on is removed during the billing cycle, the remaining unused value will be credited back to the user’s account. This gives businesses the flexibility to try the feature and decide if it fits their needs.

The Advanced Template Designer works across multiple document types in Wafeq, ensuring a consistent and professional appearance across all customer and supplier documents. Supported templates include:
